Quick answer

Collect the operational facts first: the right port and terminal, the date, how you arrive (docked or tender), official arrival and all-aboard times, ship instructions, local time zone and realistic return options. Then add your own constraints: mobility, pace, budget, interests and fixed bookings. If a key fact is unknown, the plan should show it as unknown, not fill the gap with a guess.

Essential ship and port details

Write down:

  • ·Port and terminal, or tender landing point.
  • ·Visit date and local time zone.
  • ·Ship name and cruise line.
  • ·Whether the call is docked, tendered or not yet confirmed.
  • ·Official all-aboard time from the ship.
  • ·The earliest realistic time you expect to be ashore.
  • ·Any cruise shuttle or port access rules.

A city name alone is not enough. "Rome" means a port call at Civitavecchia, about 70 km from the city. "Athens" means Piraeus, where Terminal A uses Gate E11 and Terminals B and C use Gate E12; the walk from the metro is about 15 minutes to Terminal A and about 30 minutes to B and C. In Barcelona most ships dock at Moll Adossat, about 3 km out.

Fixed commitments

Add timed tickets, restaurant bookings, tours and meeting points. Note whether each is refundable or flexible, how early you must arrive and what happens if the ship is late.

A fixed booking is a hard constraint. The plan should work around it rather than treat it as one more optional suggestion.

Traveller profile

Note party size, children, mobility or step-free needs, how far you are happy to walk, preferred pace, heat tolerance and any need for meal or rest breaks. Add must-do sights and things you want to avoid.

"Culture and food" helps, but "no more than 20 minutes walking per leg and a seated lunch" changes the route far more.

Budget and payment

Set a realistic budget per person or per group. Separate transport, admissions, food and contingency cash. Check how local transport is paid for before you go. Barcelona's Cruise Bus is card only. In Rome, paper train tickets must be validated before boarding. In Dubrovnik, the bus fare is cheaper bought in advance than on board.

Prices change. A planning tool should label costs as indicative and not present an incomplete total as exact.

Return and recovery information

Identify the normal return route and at least one workable alternative. Save the terminal address, the relevant station names, the port agent's number from your daily programme and the point at which you would drop the final activity.

If no return option can be confirmed, that is a planning result, not a blank to fill with confident language.

Final check before you go ashore

Reconfirm the ship's timing, local disruptions, weather, opening times, strikes or service changes and any tender process. Strikes in Greece are regular and sometimes called at short notice; Italian regional trains run only guaranteed bands on strike days. Download or save what you need in case signal is poor.

Frequently asked questions

Can I plan before the cruise line confirms the terminal?

Yes, but mark the terminal as unknown and do not finalise the first and last transfers until it is confirmed. In Piraeus, for example, the terminal changes your walk from the metro by about 15 minutes.

Do I need the ship name?

It helps identify the right port call and instructions. The official all-aboard time and terminal remain the deciding inputs.

What if I do not know whether the port is tendered?

Select unknown if the planner allows it, then confirm closer to the call. Some ports, such as Mykonos, can be docked or tendered depending on the call. Do not assume based on someone else's sailing.
